Why logging lot numbers, CoAs, and handling dates matters for reproducibility — and for catching problems fast.

Why Documentation Matters in Research

An experiment is only as trustworthy as the record behind it. If a result looks off, or a compound needs to be re-evaluated later, the first thing you’ll need is a clear paper trail: what was used, from which batch, handled how, and when. Without that record, there’s no way to distinguish a genuine finding from an artifact of a bad vial, a reconstitution error, or a labeling mix-up — and no way to reproduce the result reliably.

What to Log for Every Vial

  • Lot / batch number: ties everything back to a specific manufacturing run and its Certificate of Analysis
  • Date received and date opened: establishes the lyophilized and in-use clocks for that vial
  • Reconstitution details: diluent used, volume added, and the date of reconstitution
  • Storage conditions: where and how it’s been stored, including any deviations (a fridge outage, a delayed transfer)

Traceability and Recall Readiness

Traceability means being able to answer, quickly, “which vials came from this batch, and what happened to them?” That matters most when something goes wrong upstream — a manufacturer identifies a quality issue with a specific lot, for instance. A lab with good records can immediately identify which of its vials are affected and pull them from use. A lab without that record has to guess, or discard everything from a given time period out of caution. Good documentation isn’t just about defending a result later; it’s what makes a fast, targeted response possible when it matters.
